THE RULES OF THE SHOW…
Attending AEX:
Your ticket must show your legal name. You may be required to show ID to prove your identity. If you do not have suitable documentation, please contact us to let us know.
If you are transferring your ticket to someone else, please update the name on the ticket.
Entering AEX, attendees become responsible for their personal liability. Attendees assume all risks with respect to the dangers incidental to the Atlantic Entertainment Expo.
Attendee wristbands or badges are required for entry into AEX and must be visible at all times. Attendee Wristbands/Badges are non-replaceable, non-refundable, and non-transferable.
Attendance of AEX constitutes consent to the use of the wearer’s image or likeness in any recording, transmission, or reproduction of AEX for use by AEX.
Failure to comply with the published rules of AEX, including disruptive or inappropriate behavior, will result in the revocation of your pass and ejection from the event. AEX may revoke and eject anyone from the event at anytime for any reason without a refund.
AEX is free for children 12 and under*. Children 13 and older may attend AEX by themseleves. However, minors cannot take responsibility for others. You must be 18 or older to take responsibilty for an attendee who is 12 or younger.
We offer FREE entry to children 12 and under*. You don’t need to tell us in advance. We’ve allocated space for a large number of kids, so we won’t run out of room. You can bring two children with every paying adult. Children 13 and older need a pass.
Event Rules:
Follow requests and directions of AEX, Facility, and venue staff.
AEX and the venue are not responsible for personal items. Unattended and lost items will be turned over to the proper authorities (Facility Management, Police Department).
Appropriate attire is required at all times, including shoes, pants/shorts/skirts, and shirts/tops.
Each event space has limited space and seating. Seating is not guaranteed to any persons unless specified. Standing room is allowed only at the discretion of AEX or Facility staff.
Due to the number of attendees, you are not guaranteed to meet special guests. If you want to make sure you do, please purchase an appropriate token. More information can be found on our website.
Lining up is permitted no earlier than 1 hour prior to the event opening.
Possession or consumption of alcohol is not permitted during the day event.
Please make note of the local drinking age. Anyone under legal age found drinking or intoxicated will be reported to Facility Management and the local Police Department.
Smoking (including the use of vaping devices) is only permitted within designated locations outside the buildings.
Theft, assault, drug use, and other illegal activities will be prosecuted to the fullest extent of the law.
Discrimination and/or harassment of any form will not be tolerated.
Do not hinder or obstruct the flow of foot traffic within the event area.
Individuals may be asked to remove large or unwieldy bags, props, or other accessories from the event areas.
Questions, concerns, or complaints should be brought to AEX staff at the event office.
Props Policy:
Real weapons are banned, regardless if they are functional or not.
All items as listed in the Prohibited Items list are not allowed. There are no exceptions to this, regardless as to whether the item is functional or not.
All prop weapons must be inspected and peace-bonded. Strictly no metal weapons.
Other props may be required to be inspected and peace-bonded by AEX Security, at the discretion of AEX staff.
Unapproved items will be cataloged and stored. Upon exit of the convention center, the owner may reclaim it. Any item found to violate city, province or federal law may not be returned at the discretion of the local police department.
AEX Security cannot approve a prop prior to the event.
Prop weapons should not be carried outside the event. The local police departments may treat anyone carrying realistic looking weapons as a legitimate threat and will take appropriate action according to general law.
Members who do not comply with this policy or are deemed repeat offenders will be subject to removal.
Venue Code of Conduct:
If an individual is responsible for damages to venue property, or endangering his/her own or anyone else’s safety, he/she will be ejected from the venue and have his/her pass to AEX revoked. Individuals involved will be held legally and financially responsible. Venue administration may prosecute the offenders to the fullest extent of the law.
Noise levels must be kept to a minimum at all times. After three disturbances from a room, the guests will be ejected from venue property and their pass to AEX may be revoked.
Venue guests must comply with the listed occupancy/fire-safety limits for each room. Failure to do so may result in being ejected from venue property.
Prohibited Items & Conduct:
No animals (Excluding registered service animals).
Alcohol and illegal substances.
Wheeled items (excluding mobility assistance devices), including but not limited to: Rollerblades. Skates. Skateboards. Wheelies. Scooters.Bicycles. Segways/Hoverboards.
Revealing and/or offensive attire.
Real Weapons, including: Knives, firearms, and other weapons. Real guns (working, disabled, or otherwise). Projectile weapons (pellet guns, airsoft rifles, pistols, disc guns, paintball markers, water pistols, or other liquid “weapons,” etc). Metal blades (knives, swords, sharp items, etc). Practice swords including bokens and kendo bamboo practice swords. Chains, spikes (metal), leashes, and any other potentially harmful weapon, prop, or item as determined by AEX Security.
Signs of any kind. The only exception will be for cosplays where it can be proven that the character has a sign.
Smoke or fog machines or similar devices.
Laser pointers or similar devices. These items may not be used in public unless you are officially sanctioned to lead or present a gathering seminar, panel, workshop, or other gathering-sanctioned event.
Drones and other aerial devices.
Disruptive behavior, including but not limited to: Running. Screaming, shouting, or yelling. Playing loud music or noise. Horseplay or rowdiness. Unsolicited physical contact.
Defacing or damaging venue, AEX, or other’s properties.
Discrimination and/or harassment of any kind to anyone.
Obstructing the flow of foot traffic within the gathering area.
Alcohol consumption and smoking (including the use of vaping devices) outside of designated areas.
Theft, assault, drug use, and any other illegal activities.
Nudity and inappropriate attire.
Repercussions for Violations:
Any of the following repercussions may occur for violations, subject to the discretion of AEX and Facility staff.
Verbal warning from AEX or Facility staff.
Confiscation of prohibited items. Confiscation may be permanent, or until the item can be safely removed from gathering premises.
Ejection from gathering premises and revocation of pass to AEX.
Barring attendance or admittance to future AEX and venue events.
Ejection from venue facilities including guest rooms.
Financial and legal responsibility for damages.
Reporting to the local police department for illegal activities or substances.
Accessibility:
Advanced seating will be provided to persons for special events. Those who require this service will be seated in an area that is at the discretion of AEX staff. This service will be provided to a person with a disability or injury that would affect a person’s ability to stand in lines for long periods of time. If a person requires this service, they will be permitted to bring one companion person to assist them.
Venues are fully accessible to those with wheelchairs.
We ask that all of our attendees are considerate of others when using the bathrooms, especially for any costume changes; please give those with disabilities first preference at using the handicapped stalls in the bathrooms.
We ask that all of our attendees are considerate of others when using the elevators; please give those with disabilities first preference at using the elevators. For many, this is their only possible method of traveling between floors. If you are capable of taking the stairs or using an escalator, we ask that you do so.
Service animals as defined by law are welcome at AEX. We ask that in order to avoid confusion among attendees and staff that if you have a service animal with you, please do not incorporate your service animal into any cosplay.
