Thank you for your interest in the Atlantic Entertainment Expo! Please review the following carefully before submitting your application.

Unlike many conventions, AEX does not charge for your first table. All you need is a weekend event pass to participate.

AEX WILL PROVIDE:

    • An exclusive opportunity to display at the Atlantic Entertainment Expo.
    • One standard table, linen and two chairs. Table sizes and linen accessibility may vary from venue to venue.
    • A listing on our website and in event guides.

ELIGIBILITY:

To be considered for display space, applicants must:

    • Be 19 years of age or older.
    • Submit a completed Display Application.
    • Purchase a weekend event pass for themselves and each person working at their table.
    • Agree to follow the Event Code of Conduct and all rules in this document.
    • Provide a portfolio of 3–4 samples of artwork, merchandise, or products (if applicable).
    • Operate within the bounds of the law.

RULES AND REGULATIONS:

While in the Display Hall, all vendors/artists must adhere to the following:

    • You are responsible for all items within your area. AEX assumes no liability for damage, theft, loss, or injury.
    • AEX offers optional services such as additional tables, guaranteed power, secured Wi-Fi for point-of-sale, and promotional bag-drop distribution; availability and costs may vary by venue, with exact pricing provided in the application for each location.
    • Maximum two people per table. (e.g., 1 table = 2 people, 2 tables = 4 people). Each individual must have a weekend event pass.
    • Table and booth displays are welcome. Unsteady or unsafe displays must be removed.
    • Food and covered drinks are permitted; please use common sense.
    • AEX does not provide change. Please ensure you have adequate funds on hand.
    • Adult material (19+) may be sold if it follows the rules in the Adult Material section below.
    • Nothing may be attached to venue walls. Items found on walls will be removed, and damages will be billed to the vendor.
    • Due to past issues where commissions have not been delivered to the customer in due time, commissions may only be taken at the event if they can be completed by the end of the weekend; any commissions that will take longer must be arranged and paid for online via website or email.
    • Vendors are expected to participate for the entire two-day event. Failure to attend both days or to maintain open hours, without notifying staff, may result in a permanent ban.
    • Fan art is allowed, but plagiarism is not tolerated. Art theft, copying, or tracing existing works is prohibited.
    • Do not ship goods directly to the venue without written consent from AEX. Unauthorized shipments will be declined and returned.
    • Once your application has been accepted, you will receive an invoice for any additional services you may have selected.

ADULT MATERIAL:

Adult material is defined as content inappropriate for all ages, including nudity, sexually suggestive imagery, or extreme violence.

    • Such material must not be openly displayed on tables.
    • Items must be kept in a clearly labeled binder marked “Adult” or stored behind the table out of view.
    • Attendees must show valid photo ID before viewing or purchasing adult material.
    • Minors found in possession of adult material will have it confiscated.
    • Vendors selling adult material to minors may have items confiscated and risk removal from the event.

PROHIBITED:

The following are strictly prohibited:

Items:

    • AI-generated artwork (of any kind).
    • All real weapons, including but not limited to knives, swords, and firearms (replica or functional).
    • Bootleg or counterfeit merchandise.
    • Flammable materials (aerosols, paints, airbrush components). Excludes standard inks, pens, and markers.
    • Gum or substances that leave sticky residue.

Actions:

    • Attaching items to venue walls.
    • Selling adult material to minors.
    • Blocking walkways, exits, or obstructing traffic flow.
    • Selling items outside your assigned area.

ZERO TOLERANCE POLICY:

AEX enforces all policies and the Event Code of Conduct with zero tolerance. Vendors who violate these rules may be removed without refund.

HARASSMENT AND BULLYING:

If you are harassed by an attendee, another vendor, or staff member, contact the Coordinator immediately. AEX takes all complaints seriously and will act quickly to resolve issues.

UNLICENSED MERCHANDISE:

Vendors must certify that:

    • They are in full compliance with all laws and regulations.
    • They have the legal right to sell the products they offer.
    • They indemnify and hold harmless AEX, its team, volunteers, and agents from any claims related to violations of this agreement.
    • Any merchandise deemed unlicensed or illegitimate by staff must be removed immediately.

APPLICATION AND APPLICATION PROCESS:

    • Applications are submitted via Google Form. All required fields must be completed.
    • A valid weekend pass number is required for your application to be processed. This ensures commitment and prevents empty tables.
    • Acceptance decisions are based on application quality, not first-come-first-served.
    • Review and approval may take several weeks. You will receive a welcome email upon acceptance, and a floor plan closer to the event date.
    • If your application is not accepted, you will be offered a refund for your ticket.
    • If the event is canceled, you will receive a full refund.
    • If you are waitlisted, you may remain on the list until the event in case a spot opens, or request a refund up to 14 days before the event.
    • If you are on the waitlist and are offered a table but decide not to take it, you are no longer eligible for a refund as the table was available to you and you chose to decline it.
    • All add-on services are subject to an administration fee.
    • Once your application is approved, ticket refunds are no longer available if you are unable to attend.
    • If you plan to share a table, please submit one application only for all artists involved.
    • If you are joining a waitlist, you are not required to purchase a weekend pass until you have been offered a table in the market. Once you are offered a table, you will have 7 days to purchase your weekend pass.
